How do I use Rentvault – Landlord
Landlord using Rentvault to locate new Tenant
- Sign up for a Landlord account and create a profile (it is important to provide proof of property ownership- see what documents do I need to provide to become a member).
- Admin will approve your account and you’ll get an email notifying you of the approval of your account.
- Choose a membership plan.
- Click on Stripe Connect and fill out the form. Submit and get back on Rentvault (if not the Tenant will not be able to make payments via Rentvault).
- List your properties available for renting.
- Send invites to other Landlords and Tenants to join Rentvault to be eligible for Rentvault incentives.
- Click on dashboard (here you can see all the Tenants looking for properties or you can search for Tenant with a preference for properties in your community).
- Click on select property and assign your property to the Tenant. Click on “send offer” to send an invitation to Tenants to view your property.
- Tenants will see your property listing and your contact details.
- After the Tenant has visited the property and expressed interest in your property you are able to start a lease agreement.
- Prior to starting a lease agreement, view the Tenants profile. Click on the three vertical dots to the side of the Tenants name and click on “ view profile” to view the Tenants profile (reviews from previous Landlords and Tenant contact details).
- Click on property on the left side of the page, this will list all your properties.
- Click on the “house icon” in the action tab, so you can send a lease agreement to the Tenant you have chosen to lease the property to.
- Input in the start date, end date, security deposit amount and rent amount. Print and sign the lease. Lease agreements are in the forms tab. Upload signed lease agreement into Rentvault and click submit. This will send the signed lease agreement to the Tenants Rentvault account.
- After the Tenant has signed the lease agreement the signed agreement will be located in the “property tab”, view the download symbol in the action tab.
- Click on the “Agreements tab”. In the Active Agreements tab you can record payments made offline by the Tenant and send payment reminders to the Tenant. In the Completed Agreements tab, you can write the Tenants review and refund the Tenants security deposit.
- Payment tab allows you to see a record of your payments to Rentvault
- The Testimonial tab allows you to review Rentvault.
Can I upgrade my membership plan?
Yes. Landlords can upgrade from basic to silver. Once you select the new membership option, you should have immediate access. You will be charged a prorated amount based on the new subscription.
Can I cancel my membership?
Rentvault silver and gold membership options are non-refundable. If you cancel your membership, all associated membership features will expire at the end of your billing cycle. You will be reverted back to the basic membership.
How do I know how much to rent my property for?
We suggest two options available for you to choose your rental-listing price.
- You can check out other properties on Rentvault, within the same community, to estimate what the competition is offering.
- You can also ask other Landlords (friends, family or professional contacts) who are renting out their properties for suggestions.
Can I withdraw an approval to rent that I’ve sent to a Tenant?
Yes, as long as you have not accepted the security deposit and signed a lease agreement. Rentvault encourages Landlords to not go back on promises to rent a place to prospective Tenants. If the property is no longer available for rent, then Rentvault encourages you to communicate that with the prospective Tenant. After the lease has been signed, the Landlord would have to proceed as per the lease agreement, or terminate lease agreement in small claims court or the Queen’s Bench.
What do I do after I’ve found a good Tenant on Rentvault and want to rent (lease) my property to them?
After you have reviewed Tenant references on Rentvault and the Tenant has viewed the rental property, invite the Tenant to send security deposit via Rentvault. On the Landlord dashboard, assign the property to the Tenant. Download the lease on Rentvault, input in the information needed on the lease. Sign the lease and send it to the Tenant on Rentvault. Enter the start, end date, security deposit and rent amount on Rentvault. Ask Tenants to pay monthly rent on Rentvault.
How do I match my property with a Tenant?
After a Tenant accepts the security of your property listing on Rentvault, if the Tenant has an account on Rentvault, you can search for the Tenant and assign your property to the Tenant
Why does Rentvault want to verify I am a Landlord?
This is protection for Landlords and Tenants. Tenant reference is controlled to ensure only prospective Landlords see their Tenant references. Also, it protects Landlords, because you are assured that only Landlords are providing Tenant references to Tenants.
Is there a membership fee?
There is no annual fee for small business owners. Rentvault has 3 membership options, basic, silver and gold membership options. Please ensure you understand what is offered in the different membership options, and you search to make sure the Tenant is in the system, before paying for membership, because the fee is non-refundable.
Do I require written consent from a Tenant to give a reference on Rentvault?
Yes, privacy laws require written consent of the applicant to give out personal/private information. Rentvault lease forms have the consent clause. Creating an account on Rentvault provides consent for the Landlords and Tenants to provide ratings or references of each other, after login. Rentvault is committed to protecting user privacy and will report all matters for police investigation where information has been misused or obtained under false pretences.
Why was there no record found on my prospective Tenant?
The following are reasons why there could be no record on a prospective Tenant:
- Prospective Tenant is young and has not lived rented a property by themselves.
- Prospective Tenant is an immigrant or just arrived to canada and has not yet gained Canadian rental expereience.
- Prospective Tenant has been incarcerated for a long period of time
- You entered the wrong personal information for the prospective tenants
- Prospective Tenant has provided you with false information. Review government issued I.D. to verify the provided information on Identity
- Prospective tenant does not have an account on Rentvault
What are your days and hours of operation?
Monday to Friday: 8:00am to 4:30pm Saturday and Sunday: Closed (Mountain Daylight Time)
Can I obtain rental forms from this website?
Yes. Rentvault has a lease agreement, Rental Application Form, Notices to Landlords and Notices to Tenant.
How do I pay?
Rentvault requires an online payment at the time of ordering. You can pay by Visa or MasterCard
How do I report Tenant Pay Habits?
Rentvault has a history of tenants pay habit if the tenant pays rent via Rentvault. Otherwise landlords can report Tenant pay habits at the end of a lease agreement, when you provide tenant reference.

Rentvault sells information from rental communities, property managers and landlords in Canada. Rentvault does not verify or guarantee the accuracy of the information. If any of the data is incorrect, contact Rentvault on how to correct the inaccurate information
Which documents should I provide to become a member?
To create a Landlord account
- Landlords must provide: proof of ownership for the rental property (current property tax record or the current insurance policy for the rental property).
- Realtor must provide: a signed copy of the listing or management agreement between you and the rental property owner and owners proof of ownership of rental property
- Property manager must provide: a signed copy of the listing or management agreement between you and the rental property owner and owners proof of ownership of rental property
What documents do I need to send if I am looking for a prospective Tenant on behalf of a friend or family member?
- Proof of ownership for each rental property; either a current copy of the insurance policy showing the name of the owner and the rental property address or a current copy of the property tax notice showing the name of the owner and the rental property address.
- A document stating that you have permission to perform Tenant screening or that you are in charge of managing the rental property on behalf of the owner. This document should list your name and address, the owner's name and address and the rental property address.

How do I update my account info (email, password)?
Once you are in your Rentvault account, select Landlords Dashboard, to update all your info.
For Tenant
How do I use Rentvault - Tenant
- Sign up for a Tenant account (it is important to constantly update your rental preferences). Landlords with available properties in the areas of your preference will contact you about their properties.
- Create a profile. Put in the basic information, Landlord references and a government issued ID (the more information on your profile, the more likely you are to get preferential Landlords contacting you).
- When a Tenant account is created, your availability is automatically set to looking for properties to rent, so that Landlords can contact you. You can manually turn off your availability on your profile tab if you currently have a place you are renting.
- Click on Stripe Connect and fill out the form. Submit and get back on Rentvault (if not you will not be able to make payments via Rentvault).
- Click on dashboard (to view all the available property listings on Rentvault)
- Send invites to other Landlords and Tenants to join the Rentvault platform to be eligible for Rentvault incentives.
- Click on the “applications” tab to see offers from Landlords to view their property. Click on view property to be directed to the Landlord’s page.
- On the Landlords page you will see a tab to view the Landlords profile, this will contain reviews from previous Tenants who have rented from the Landlord. If you like what you see, click on ‘Get Contact’, to get Landlord contact details and visit the property.
- After visiting the available rental property and you’ve agreed to rent it, ask the Landlord to send the lease agreement on Rentvault (when they send lease agreements on Rentvault a copy of the signed lease is saved on Rentvault).
- In the “applications tab” you will be able to receive the lease agreement sent by the prospective Landlords.
- Go to the actions tab, download the lease agreement, sign and click on the “paper icon” to submit the documents.
- You will be routed to the Landlords page. Click on upload and pay, to upload signed lease agreement and pay the security deposit.
- Click on “Payment History” to view all payments made to your Landlords on Rentvault
- Click on “Active Agreements” to view upcoming payments and make payments
- As needed review the forms tab for Tenant forms that can be sent to the Landlord.
How do I let Landlords know that I am looking for a place to rent?
Create a Tenant account, on your profile page; you can set your availability to rent. That is, you can move the button to green, you are letting Landlords know that you are looking to rent. You can also set your preference for the kind of property you’d prefer, so you letting Landlords with properties matching your preference know you are looking to rent.

Rentvault provides information like Landlord ratings, references, profile and the Landlord property listing. To get started, create an account on Rentvault. Create your profile, set yourself as available to rent and set your preferences. Search for available properties.
